Audio-Video Coordination Team Member

TEDxLausanne is seeking an audio-visual production team member for our next main event on September 19th, 2019.

TEDxLausanne is an association of volunteers working to celebrate ideas worth spreading. We are committed to craft and deliver the best experience for our 500+ attendees on multiple yearly events as well as professional quality videos published on the official TEDx YouTube channel.

The TEDxLausanne production team is in charge of the production of all audio-visual contents for the event.

The main focus is on organizing and following on shooting, editing and delivering professional quality videos of the talks to maximize viewership and spreading of the wonderful and inspiring ideas featured at our TEDx events.

The secondary focus of the production team is on crafting and delivering promotional contents if budget permits and if needed for the event promotion.

Responsibilities and Duties

The following is a non-exhaustive list of the AV production tasks:

Communication and coordination with AV partners and sponsor
Coordination and/or production of promotional material (if needed)
Facilitate communication between all parties involved in production
Check of visual material for the event (speaker pptx, sponsor slides etc.)
Overview of the control room equipment
Brief of cameramen (having experience in filming is a plus)

On the Event:
Assisting with equipment setup
Venue coordination with in-house AV
Stage management
Managing of the camera crew
Managing of live stream (if any)
Troubleshooting AV equipment

Editing of final videos or brief/collaborate with the agency in charge of it

Profile needed

Previous experience in AV event production and/or filmmaking
Knowledge of AV equipment and technologies
Good communication skills
Team spirit and good organizational skills


Please note that tasks are divided up among team members, thus we do not expect any single member of the production team to master all of the above tasks.

Expect to attend two meetings per month (if possible in the late afternoon, after working hours)

The workload gets more intense as the main event approaches, so expect to dedicate:
2 hours a week on average in the early stages of production;
To about 5 hours a week in the final month;
The 2 weeks prior to the event might require up to 10 hours a week of commitment.
Attendance during the event day (September 19th, 2019) is mandatory.
Attendance during the two rehearsal days (17th and 18th of September 2019) is preferred.
